Description:
As a Technology and Office Coordinator, you will provide exceptional support across a wide variety of operational and technology-driven tasks to maintain an efficient, organized, and effective office environment while also facilitating effective innovation, collaboration and learning in a hybrid environment.
What You Will Be Doing
Office Support & Communication
- Welcome clients, recruits, and employees, and assist them as needed.
- Maintain an updated visitor log and ensure all visitors have completed the required forms.
- Assist in ensuring the office is neat and organized, particularly in the lobby area of the office.
- Manage key card access for the office (request new badges, distribute badges to employees / visitors)
- Manage conference room reservations and availability.
- Take initiative to anticipate the needs of the office daily.
- Handle any printing/copying/faxing, binding, and mail.
- Answer/Screen incoming calls
- Support and model excellent service by exhibiting a positive attitude and enthusiasm toward the job and the company to both internal and external customers in all forms of communication.
- Participate in ongoing training regarding technology upgrades and new systems applicable to the position.
Technology Support
- Understand & monitor collaboration technologies including videoconferencing, Surface Hub 2 and portable devices for meetings, events and daily use in our Chicago Innovation Center, Learning Center and Office.
- Provide customer support internally before and during meetings for any and all technologies used to include advising on best practices to facilitate effective in-person or hybrid meetings based on device capabilities
- Assist in defining, communicating, and setting up technology requirements for off-site meeting venues including conference centers and hotels in the greater Chicago area.
- Work with Technical Support and other IT teams to detect and rectify system performance problems.
- Modify, repair, and conduct preventative maintenance on equipment and collaboration technologies.
- Be a point of contact for collaboration technology maintenance, best practices, and troubleshooting.
- Assist our Innovation Center Technical Architects to maintain the quality of our technology.
- Help with our outside vendor on any technology support tasks, when needed.
- Work with our local Lead to anticipate the needs of the office daily.
- Monitor & maintain the Technology internal webpage.
- Support our employees with minor technology issues.
- Support our leaders in identifying and implementing opportunities to enhance the deployment of new technology solutions.
Invoicing and Procurement
- Submit, track, and follow up on all office invoices.
- Order office supplies, snacks, and beverages while maintaining an up-to-date inventory and anticipating future needs.

Your Educational And Professional Qualifications
- Degree: bachelor’s degree, preferred
- Experience: 2+ years of professional experience, required
- Intermediate knowledge of Microsoft applications (Word, Excel, PowerPoint, Outlook)
- Proven experience with providing first line technical support to a variety of technologies.
- Experience with Microsoft Team Room and Poly preferred.
