Description:
Reporting to the Head of Studio, the Studio Manager will be responsible for providing comprehensive administrative and production support to all studio disciplines: Video Production, Design, Events, Project Management, and Copywriting. We are looking for a seasoned manager who can facilitate collaboration, provide clarity and communication, manage budgets, and actively seek opportunities for process improvement.
The Studio Manager will also serve as the administrative point-person for all production shoots conducted within the physical studio located in the New York office. In this position, they will assume a major part in managing the day-to-day production elements from both a planning and business management perspective. Their primary focus will be ensuring clarity and effective communication among all parties involved in any given shoot. This will entail coordinating with staff members, vendors, and freelancers across different disciplines, facilitating smooth onboarding, and ensuring that all parties are well-informed and aligned throughout the production process.
Responsibilities
- Oversees administrative tasks and processes related to the Studio team including but not limited to, budget tracking, freelancer booking and comms, file management, and studio team-member onboarding
- Partners with Video Production Director and Event Production Director in mapping out and implementing the staffing, equipment, process, and budget plan for utilizing the in-person studio
- Drives the day-to-day administrative and planning management of shoots within the physical studio located in the New York office
- Defines the onboarding process for all vendors and freelancers within the physical studio, while serving as primary point-of-contact for all freelance staff and vendors working within the space
- Manages shoot budgets in the New York office and assists with holistic finance tracking across all studio disciplines
- Updates department informational docs as needed, and fleshes out holistic studio on-boarding process across all disciples to ensure all info is current and relevant
- Oversees studio team-building budget and maps out usage strategy for each year-half
- Drives the utilization of Studio's allocated Training & Development budget, ensuring we're identifying growth opportunities for Studio members in partnership with the team leads
- Assists with the drafting of job descriptions and other written documents
- Serve as single-source-of-truth for general info related to purchasing, per diem, travel policies
- Ability to step in as production manager for any given shoot if need be
- Oversees file system structure and research/implementation of a server solution for storage and management of all Studio projects and files

Qualifications
- A self-starter with broad experience (minimum 10+ years) working in production and/or creative management
- Proven success managing administrative duties across multiple projects and teams, simultaneously
- Fantastic communication skills and sharp problem-solving abilities
- Experience in live event production, video production, and/or live broadcast production
- A solution-oriented style of working with the capacity to identify & solve problems before they become issues
- Ability to create presentation decks for proposals or internal comms, as needed
- The capacity to maintain a calm and positive demeanor in the midst of a fast-paced production environment with tight turn-around times and hard deadlines
- Familiarity with freelance hiring laws, policies, and production standard practices
- A talent for proactively identifying communicating helpful resources for all team members, and identifying opportunities for team collaboration & creative inspiration, and general team morale
- Expert written and verbal communicator
- Demonstrated capacity to cultivate strong relationships within the organization
