Key Responsibilities
1. Expense Reporting:
- Process and track expense reports, ensuring accuracy and adherence to company policies.
- Reconcile credit card statements and receipts and maintain expense records for audit purposes.
- Collaborate promptly with finance department to resolve any discrepancies or issues.
2. Calendar Management:
- Manage and maintain calendars for executives and team members.
- Schedule and coordinate meetings and appointments.
- Make travel arrangements, accommodations, and itineraries as needed.
3. Event Planning and Coordination:
- Assist in planning and organizing company events, such as conferences, meetings, and team-building activities.
- Coordinate event logistics, including venue selection, catering, audiovisual setup, and transportation.
- Manage invitation lists, RSVPs, and attendee communications.
4. Materials Preparation Support:
- Create and edit documents, presentations, and reports using Microsoft Office suite or other relevant software.
- Proofread and format documents to ensure consistency, accuracy, and professionalism.
- Assist in the preparation of meeting agendas, minutes, and follow-up action items.
5. Other General Administrative Support:
- Provide general administrative support to the team, including answering phone calls, responding to emails, and handling correspondence.
- Maintain and update various databases, spreadsheets, and filing systems.
- Assist with special projects, research, and data analysis, as assigned.
Critical Skills
- Proven experience as an administrative assistant.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Demonstrated ability to handle confidential information with discretion.
- Strong attention to detail and accuracy.
Education
- High school diploma or equivalent minimum; bachelor's degree preferred.
