Service Coordinator

 

Description:

We are seeking a dedicated and organized individual to join our team as a Service Maintenance Coordinator. In this role, you will perform a variety of routine field service dispatch and customer service functions for our field service department. You will be responsible for dispatching service requests for the installation and repair of CNC machining equipment in the field. Additionally, you will assist with inside sales parts orders and machine installation project coordination as required by the workload.

 

Core Responsibilities:

  • Receipt and dispatch of service requests to field service technicians, including preparation of pre- and post-service documentation, parts availability/usage, and customer communications before, during, and after service completion.
  • Ensuring all service and installation requests are completed promptly and escalated appropriately if not completed within contractual timelines.
  • Providing support for inside parts sales as required by time and workload.
  • Assisting the Installation Project Manager with project coordination as required by time and workload.
  • Creating estimates for all on-site work.
  • Communicating with customers to schedule service, including coordinating requested dates and times and adhering to specific safety and regulation requirements.
  • Following up with customers regarding incomplete or rescheduled jobs.
  • Maintaining organized filing for all technician expense receipts.
  • Coordinating all emergency on-site services.
  • Tracking technicians' time off and scheduling service appointments with customers.
  • Making travel reservations for technicians.
  • Ensuring compliance with the company's quality policy statement/mission statement.
  • Working impartially and performing duties with the utmost integrity.

  • Proficiency in MS Office and business applications, including CRM systems.
  • Ability to write routine reports and correspondence.

  • Commitment to safety, including communicating safety concerns and promoting a safe work environment based on established safety standards and training.

Core Education and Experience:

  • Associate degree or equivalent; 2 years of relevant experience and training; or an equivalent combination of education and experience.
  • 2-5 years of prior experience in a similar or related field.
