Description:
The Senior Travel Specialist is responsible for providing expert-level travel and operations support to OTI staff. This role requires in-depth knowledge of travel processes, policies, and regulations, as well as strong leadership and mentoring skills. The Senior Travel Specialist will report to the Travel Lead and collaborate closely with internal and external stakeholder.
Duties and Responsibilities may include but are not limited to:
Serve as the point of contact for regulations and policies related to the transportation and storage of personal effects.
Provide travel fund management, including reconciliations, adjustments, reporting, and assisting with year-end closeouts.
Participate in panels or working groups to develop and improve travel systems.
Establish and maintain accurate and organized electronic travel files, following records management guidelines.
Ensure accurate records of passports, visas, inoculations, and medical evacuation policies for travelers' compliance.
Share travel information and systems efficiently with USAID/OTI staff, conducting training and maintaining resource documents.
Build and maintain effective relationships with administrative and financial personnel in USAID Missions, M/FM, and other relevant offices.
Provide orientation, training, and mentoring to staff on travel procedures and standard operating procedures.
Serve as a travel expert, participating in panels and working groups to develop and improve systems.
Advise program staff on the preparation of documentation for international travel requests, country clearances, and cable notifications.
Collaborate with the supervisor to identify and discuss improvements to the current travel system.
Serve on short-term assignments with other USAID offices or bureaus in support of USAID/OTI programs, when needed.
Prepare travel authorizations for OTI staff traveling on temporary duty assignments within the United States and overseas.
Process travel requests, ensuring all clearances and required documentation are obtained.
Coordinate passport applications and renewals, as well as the receipt of visas and country clearances.
Review and process travel vouchers for OTI staff, ensuring timely payment and resolving any issues.
Perform other duties as assigned by the supervisor.

Work Environment
Moderate noise (i.e. business office with computers, phone and printers) and /or occasional Loud noise (airfield, large equipment).
Ability to sit at a computer terminal for an extended period of time.

Requirements
Basic Qualifications
Bachelor’s Degree.
Minimum of 5 years relevant experience.
Experience and understanding of the Agency of International Development Acquisition Regulation (AIDAR) or Federal Travel Regulation (FTR).
Strong leadership and mentoring skills; Experience managing and supervising a team of travel coordinators.
Experience providing administrative, finance, or personnel support in an organization with domestic and overseas staff.
Proficient with travel processes, policies, and regulations.
Proficiency in using travel management systems and tools.
Knowledge of database entry and management.
Ability to work effectively in a team and collaborate with stakeholders.
Problem-solving and critical-thinking abilities.
Strong attention to detail and organizational skills.
Ability to adapt to changing operational and programmatic needs.
Experience facilitating panels or working groups to develop and improve travel systems.
Demonstrated proficiency in using all Microsoft Office applications.
Outstanding communication skills, influencing abilities, and client focus.
