Description:
We’re looking for a Senior Manager, Operations and Project Management, Creative Team to join TNC’s Marketing and Communications Division and provide strategic project management and operational support for our Creative Team’s priorities to ensure the high-functioning performance of the team. They provide oversight and management of Creative Team initiatives, strategies, and projects, support team communications, and lead all project management, process, operational, team culture, and administrative needs for the team.
The Senior Manager, Operations and Project Management, Creative Team will manage the execution of external and internal-facing projects and initiatives related to team strategic priorities and operational management. They will develop a deep and comprehensive understanding of the full scope of the work of the Creative Team. They will provide oversight and management of the team’s project calendar, maintaining a list of projects and prospective projects and an understanding of organizational and divisional goals and objectives, as well as Creative Team resources, to ensure the team is operating efficiently and effectively and is focused on the highest strategic priorities.
They will oversee all Creative Team operations, including contract and invoice management, budgeting and budget management, recruitment, and onboarding, quarterly and ad-hoc reporting, logistics and content for team calls and retreats, and other operational needs. They will ensure that team commitments, TNC policies and procedures, and legal requirements are met and managed for compliance. They will serve as a resource to colleagues and leadership through knowledge of finance and HR-related operational policies and procedures. They will develop and execute team culture and engagement opportunities and experiences.
When managing projects, they will establish project goals and success factors, develop project plans, budgets, and schedules with input and buy-in from key stakeholders and team members, and lead project teams to successfully achieve goals in an efficient manner. Throughout the project lifecycle, they will monitor and measure project progress, problem-solve and take corrective action as necessary, communicate project status information to stakeholders, perform risk management, issue resolution and conflict management, and control project scope and quality. They obtain go/no-go decisions at project decision points and identify and obtain approval for all project deliverables from the appropriate stakeholders. They ensure all organizational and divisional processes are followed and standards are met. They work to enhance and improve divisional project management processes through collaboration with project management colleagues. Occasional will be required for things like business meetings, team retreats, or professional development.
As Senior Manager, Operations and Project Management, Creative Team, you will:
Develop and maintain comprehensive understanding and tracking of the priorities and work of the Creative Team in alignment with organizational and divisional goals and objectives.
Support team leadership to establish and track team strategic priorities, goals, success factors, and KPIs.
Lead annual budgeting process in partnership with team leadership; maintain ongoing budget tracking and management to inform decision-making and resource allocation in alignment with finance staff.
Manage project budgets and assist with project budget development.
Oversee management of contracts across the Creative Team, ensuring that contracts and invoice payments are delivered in a timely manner and in compliance with all SOPs.
Collaborate with team to identify and coordinate creative ways to build a team-spirited culture of engaged employees across a geographically diverse team.
Manage and/or lead multiple projects simultaneously, directing work of peers, managing budgets, setting deadlines, and ensuring accountability.
Collaborate effectively with internal teams and outside consultants and vendors.
Ensure compliance with Conservancy policies and procedures and external (donor/legal/IRS) requirements; decisions may have organization-wide impact and bind the organization financially or legally.
Understand and follow organizational and divisional processes and maintain integrity of process standards.
May manage one or more professional staff; accountable for achievement of direct reports’ business and professional development goals and objectives.
Act as a resource to others to solve problems.
Demonstrate sensitivity in handling confidential information.
Act independently and in supervisor’s stead, as needed; exercise independent judgment to identify and solve problems.
Be available to work long and/or flexible hours as needed during peak workload periods.
Be available to work outside of standard work hours, within reason and agreed-upon with manager, to accommodate meetings with global colleagues.
