We’re currently searching for a Senior Event Planner/Producer who thrives in fast-paced creative environments. This candidate should be entrepreneurial in spirit while also possessing exceptional communication and collaborative skills. In this key role, you’ll be responsible for planning, executing, and coordinating assigned events, while ensuring that each event maintains the JZ Events ethos of trust and partnership, from beginning to end, to produce some of the most celebrated events around the globe. Join our fab team in our Manhattan office, where you’ll collaborate closely with the team and our partners to oversee the realization of our client’s vision. You will will be integral to our success by being a part of the daily operations of our business, mentoring junior talent, and managing a portfolio of our client work. Responsibilities:
- Partner closely with clients to flawlessly execute their vision from start to finish, ensuring that each event reflects the client’s individual style and personality.
- Manage all aspects of planning—from venue and vendor selection to budget and timeline management—to ensure a seamless and efficient planning process that delivers excellence.
- Oversee vendor relationships, including sourcing, contract negotiation and communication management, with various vendors such as florists, caterers, photographers, and entertainment providers to ensure the highest quality of service and adherence to budget (when applicable).
- Own all event logistics, including decor, F&B, transportation, accommodations, and guest management, for a smooth and stress-free experience for clients and guests.
- Create and manage event budgets, track expenses, and share budget transparency with all stakeholders to manage financial targets.
- Develop and seamlessly execute a detailed timeline for each event, presenting to the client and adhering to it throughout the entire planning process.
- Take a creative, swift, and proactive approach to problem solving before, during, and after the planning and execution of an event.
- Collaborate with other members of the event planning team, including assistants, coordinators, and designers, to ensure the cohesive execution of each and every event.
- Maintain consistent and transparent communication with clients throughout the lifecycle of the planning process.
- Create a framework for post-event assessments evaluate the success of each wedding while identifying areas for future improvements.
Qualifications
- 10+ years of experience as a successful Event Planner/Producer with experience managing large budgets ($1M+) and serving HNW clientele.
- A well-established network of industry connections and an in-depth knowledge of the intricacies of event planning.
- Exceptional creative problem-solving skills and resourcefulness, especially under pressure.
- Fantastic communication and interpersonal skills; ability to professionally interact with high-touch, HNW clients and partners.
- Strong organizational skills, time management and attention to detail, ensuring accuracy and precision in all aspects of event planning.
- Experience in budget management ($1M+) including monitoring expenses and identifying cost-saving opportunities.
- Experience in contract negotiation and vendor relations and a proven ability to ensure favorable terms and successful partnerships.
- Ability to adapt quickly to changing circumstances and adjust plans accordingly.
- Collaborative, team-player attitude and a commitment to fostering a positive and supportive work environment.
- Excellent leadership skills and a proven ability to inspire and motivate a team.
- Commitment to continuous learning and professional development, understanding of industry trends and best practices.
- Proven track record of handling sensitive information with the highest level of confidentiality and discretion.
- Flexibility to work evenings, weekends, and holidays as required. Flexibility to travel as required.
- Proficiency in Google Workspace tools, including Calendar, Gmail, and Google Sheets.
