GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Metropolitan Museum of Art seeks a dynamic individual as the Program Associate, School and Educator Programs within the Teaching and Learning division in the Education Department. The Program Associate, School and Educator Programs is responsible for the day-to-day administrative support of School and Educator Programs and a wide array of programs and resources for PK-12 students, educators, school administrators, and school volunteer guides. In this role, the Program Associate coordinates and executes program logistics; maintains up-to-date data on a variety of systems; tracks budgets and statistics; oversees program registrations, confirmations, billings, and payments; co-develops, reviews, organizes, and disseminates program information; staffing for programs; and serves as the primary point-of contact for internal and external inquiries. The ideal candidate has excellent organizational skills and is able to manage multiple, logistically complex activities simultaneously within a museum setting.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Collaborate and communicate with staff across School and Educator Programs, Education, and the Museum to plan and implement programs for the K-12 audience.

  • Monitor and maintain budgets, prepare and process invoices, and track expenses.

  • Track statistics, and mine data to identify participation trends and inform resource allocation and workflow. Contribute to the preparation of funding reports and other regular updates. efficiency, and communication.

  • Oversee and execute program logistics, working closely with program leaders and Education Operations staff and others across the Museum to ensure day-to-day program coordination, This includes: Reserving rooms and resources, staffing programs, and purchasing, gathering and maintaining supplies.

  • Organize and prepare internally and externally facing program communications, including regular entries and updates to the Museum’s web content and event/personnel management systems, confirmation letters, and print publications.

  • Assist with the supervision of department interns and volunteers who support School and Educator Programs.

  • Provide front-line customer service for School and Educator Programs, including responding to internal and external inquiries.

  • Provide some administrative support for the Educator-in-Charge, Teaching and Learning, such as coordinating meetings, maintaining or developing efficient administrative processes and procedures, and maintaining program files.

  • Other duties as assigned.

REQUIREMENTS & QUALIFICATIONS:

  • Bachelor’s degree

  • Knowledge of and experience with the PK-12 school system, especially in New York City, an asset.

  • Full command of Microsoft Office Suite and solid computer skills required.

  • Minimum 2 years administrative experience, preferably in a museum setting or other non-profit.

  • Meticulous attention to detail and strong organizational skills.

  • Demonstrated capacity to communicate effectively and professionally with different constituencies, verbally and in writing. This includes excellence in customer service, a motivated and personable stance towards visitors and colleagues, and a demonstrable desire and ability to effectively engage with children, families, and teens in the Museum.

  • Strong project management and collaboration skills

  • Demonstrated ability to multitask, remain flexible, problem-solve, and take initiative.
