Description:

Exhibitions:

  • Responsible for communications with lenders, shipping and logistics companies, as well as object donors as needed.
  • Draft, review and enforce sensitive documents and contracts including loan agreements, damage reports, etc.
  • Manage registration-related loading dock operations and communicate with Museum operations staff.
  • Serve as a courier for objects in transit and/or site visits, as needed.
  • Participate as the registration authority in exhibition planning meetings.
  • Oversee installation / de-installation.
  • Coordinate packing, shipping and installation schedules and logistics.
  • Prepare and/or be respectful of project and fiscal budgets.

Collections:

  • Responsible for Registration procedures related to new acquisitions.
  • Oversee and maintain object location records, handling, and housing.
  • Manage the outgoing loans program.
  • Manage any future Collections inventories or audits.
  • Maintain impeccable records related to both Collections and Exhibitions, in coordination with the Director of Collections Information and Digital Assets.
  • Reconcile invoices and code for payment following Finance Department and C&E procedures. Lead the team in conducting periodic inspections of the exhibitions on view, gallery conditions, and both on and off-site storage facilities.
  • Improve processes and workflow within the Collections & Exhibitions Department.
  • Maintain schedule of freelance registrars as needed.
  • Additional projects as assigned and according to level of training, background and ability.

Requirements:

  • Minimum 3-5 years of full-time experience working in a museum or related field.
  • M.A. in Museum Studies, Art History, History or related fields, or comparable work experience.
  • Knowledge of art handling methods and materials, procedures, and best practices related to exhibitions, collections management and incoming / outgoing loans.
  • Excellent organizational, communication and computer skills. TMS experience preferred.
  • Must be a self-starter with excellent time management skills and the ability to thrive in a cross-functional team as well as independently.
  • Must be able to maintain discretion related to confidential or sensitive materials.
  • Must be able to work a flexible schedule, including occasional evenings, weekends, and holidays.
