Description:
ESSENTIAL FUNCTIONS
1. Performs enrollment and withdrawal activities within the automated student information system (e.g. permanent student records, cumulative folders for all students, grades, academic history, master schedule, diplomas, etc.) for the purpose of documenting and/or providing reliable student information.
2. Coordinates the electronic transmission of grades and comments at the completion of each semester for the purpose of ensuring accurate academic documentation.
3. Enters academic history (middle school) or transcript (junior high) of incoming students and reviews cumulative folders, record cards, withdrawal grades and fines/fees from previous school, etc. for the purpose of ensuring their conformance with district grading, curriculum and course credit systems.
4. Maintains a variety of files, documents and student records (manual and machine) (e.g. permanent student records, cumulative folders for all students, grades, transcripts, master schedule, diplomas, etc.) for the purpose of documenting and/or providing reliable student information.
5. Performs record keeping, report generation and other clerical functions to support administrators and/or staff.
6. Processes a variety of forms and materials (e.g. monthly enrollment, school report cards, mail, transcripts, NCAA applications orientation information, graduation/awards information, enrollment/withdrawal, schedules, etc.) for the purpose of documenting and disseminating information to appropriate parties including State auditors.
7. Responds to inquires from various internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication and/or providing direction.
8. Serves as a resource to students, employees and/or organizations for the purpose of interpreting and conveying appropriate procedures required for district operations.
9. Supports assigned administrators and/or staff for the purpose of assisting them in the completion of their work activities.
10. Attends suggested job related workshops/trainings/certification courses to maintain a level of proficiency necessary to perform job.
OTHER FUNCTIONS AS DEFINED WITHIN THE BUILDING
11. Answers phones and greets visitors; may provide a variety of office support to counselors/administrators; generate and distribute materials as requested; schedules appointments; maintain files.
12. Performs a variety of backup and peak load assistance in the school and/or counseling office.
13. Assists in organizing and scheduling a variety of student activities, such as testing and graduation ceremony.
14. Serves on various district committees and/or departmental work teams. Models appropriate and cooperative behavior, including protecting confidential information, following established district procedures, and is in compliance with district ethical guidelines.
15. Performs related duties consistent with the scope and intent of the position.
