Description:

Server as the Program Support Specialist to the Most Efficient Organization (MEO) Program Manager in the Facilities Maintenance Branch at the TRACEN Petaluma. The Program Support Specialist performs the full range of administrative and technical duties in support of facilities maintenance activities.

Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include:

  • Extensive use of organization-wide database, to track and report on the status of base-wide facilities maintenance.
  • Data entry and retrieval, report preparation, and statistical analysis.
  • Enter work completion data, prepared by others, review for clarity of expression and logical sequence of events.
  • Maintain accurate and concise historical maintenance information.
  • Produce a variety of recurring reports, charts, and statistical data relating to workload, timelines, and quality control.
  • Develops required MEO Service Provider Status and Quality Control reports.
  • Coordinate with a variety of individuals inside and outside of the local organization to determine the appropriate person for responding to technical inquiries, based on personal knowledge of organizational programs, priorities, goals, and objectives.
  • Independently carry out administrative and clerical functions.
  • Identify, resolve and/or recommend changes to inefficient procedures and policies.
  • Prepares purchase documents in support of project and work order execution and for staff needs.
  • Analyzes and summaries budget-related information for the manager.
  • Assists in ensuring that adequate control systems are set up tp monitor accounts during the fiscal year and makes adjustments as requires.
  • Carries out special projects such as assembling reports and publications into finished, comprehensive documents or presentations.

Qualifications

To Qualify for the GS-07 Grade Level: Applicants must have one year of specialized experience equivalent to at least the GS-06 in the Federal service. Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.

Examples of qualifying specialized experience include:

  • Utilizing software to update databases and run reports; maintaining tracking systems.
  • Using various types of software capabilities and functions to create reports.
  • Performing office support services including answering the phone, filing office supplies, calendar and coordination of work.
  • Using effective interpersonal skills when working with others.
  • Assisting in completing administrative duties such as purchase requests or budget tracking.
