Program Coordinator

 

Description:

PRIMARY RESPONSIBILITIES & DUTIES:

  • Support in-person and hybrid talk-based programs with logistical support

  • Act as primary point of contact for external speakers, artists, teaching artists, for logistical and administrative aspects of program development

  • Process contracts, presenter agreements, and invoices

  • Build online program listings and help develop other audience facing program materials

  • Book rooms and coordinate set-ups and logistics for events

  • Work closely in museum data systems to ensure program registration set up, staffing requests, and digital signage information

  • Purchase materials and supplies, prepare materials for programs, and help keep equipment in working order.

  • Work collaboratively with programming staff to manage internal planning documents and keep abreast of logistical needs

  • Respond to Museum and public inquiries, serving as a key front-line contact for the Public Programs team

  • Assist with the execution of events and represent the Museum with the public as needed.

  • Other duties as assigned.

REQUIREMENTS & QUALIFICATIONS:

  • Bachelor’s degree required. Background in art, art history, studio art or related fields preferred.

  • Minimum 2 years of experience working in administrative, program, project or event support

  • Excellent writing, communication, and interpersonal skills, required

  • High attention to detail, strong organizational skills, and ability to act proactively, required

  • Ability to prioritize and handle multiple tasks simultaneously, required

  • Experience working with artists, scholars and big thinkers, required

  • Special events planning or project management experience, preferred

  • Ability to thrive in a dynamic, team-based environment

  • Full command of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required

  • Experience and comfort with databases/information systems (such as Workday, Umbraco, Artifax, and Tessitura), required; familiarity with Figma, Adobe Photoshop and InDesign, preferred.
