Description:
This is a full-time, 30-hour-per-week (.80FTE) position. The primary functions of this position are to assist in managing our front desk operations systemwide including the departmental service account and call center. This person will also assist with the department's social media activities and presence; participate in all special events and tour processes across our residence halls; provide assistance to the Assistant Director on departmental public outreach and communications efforts; and assist in the outreach and logistical tasks for the resident move-in process. The Program Assistant will assist in the centralized scheduling for all front desks within the University Housing system. Some hours will occur outside of traditional 8:30am - 5:00pm workday.
Essential Duties and Responsibilities
- Assist in editing, proofreading, and revising communications as well as other materials as assigned.
- Assist in the coordination of major departmental events such as move-in, move-out, etc.
- Provide support and assistance for all departmental communication efforts.
- Assist in identifying Housing website errors and make recommendations for updates.
- Assist in ensuring the student voice is heard and acted upon with our marketing and communication strategies.
- Supervise student workers teams (office assistant, social media assistant, and graphic designer).
- Assist with the coordination and execution of events and resource fairs such as Cardinal Preview Day, Admitted Students Day, Orientations, Housing Fair, daily Housing Tours, Facebook Live events, Cardinal Outlook Day, Accolate, recruitment events, and other functions as requested.
- Assist in maintaining and moving tour room decor and serve as the liaison between University Housing and internal/external groups who conduct tours in the halls.
- Assist in tour training other staff within and outside of the department.
- Assist with the training of and scheduling a student desk staff team.
- Assist in developing training materials and facilitating meetings to ensure that students are updated on all processes.
- Oversees social media analytics process.
- Researches and orders promotional Items for current residents and for recruiting perspective residents. This includes submitting engage forms in a timely manner and getting approval.
- Serve as a contact for student, staff, and parent questions regarding housing. Communication includes phone calls, walk in traffic, and responding to emails in a timely manner.
- Keeps student staff manual and responsibilities up to date. Provides timely updates to student staff so that they are able to do their job correctly and effectively.
- Oversees and plans social media posts and content creation.
- Other duties as assigned.
Preferred Qualifications
- Bachelor's degree in a related field such as Marketing and Communication.
- Experience with desk management.
- Experience with social media management.
- Experience with editing copy and printed material.
