Office Administrative Assistant

 

Description:

  • Our client is seeking a highly organized and detail-oriented Administrative Assistant to join their team. The Administrative Assistant will play a crucial role in supporting the day-to-day operations of the organization. This position requires a proactive individual who can handle multiple tasks, provide exceptional administrative support, and maintain a high level of professionalism.

 

Responsibilities

  • Perform a variety of administrative functions to ensure the smooth operation of the office.
  • Schedule appointments and meetings, coordinating with internal and external stakeholders to ensure efficient use of time
  • Provide information to callers, respond to inquiries, and manage incoming and outgoing communications with professionalism and courtesy.
  • Take dictation and transcribe notes accurately, ensuring the preservation of important information.
  • Compose memos, emails, and other written correspondence, maintaining a high standard of grammar and clarity.
  • Conduct research as needed and assist in creating and formatting presentations for various purposes.
  • Generate reports using relevant software and tools, ensuring accuracy and timeliness.
  • Assist in handling multiple projects by organizing tasks, tracking progress, and ensuring deadlines are met.
  • Prepare, monitor, and manage invoices and expense reports, maintaining accurate records and following established financial procedures.
  • May assist in compiling and developing the annual budget, working closely with the finance department

 

Required Skills & Experience

  • High School Diploma and 3-5 years of administrative experience supporting a leader.
  • Previous administrative experience in a large organization.
  • Strong Microsoft Office skills.
  • Strong communication skills, both written and verbal.
  • Excellent organizational and multitasking abilities
  • Attention to detail and a high level of accuracy.
  • Knowledge of budgeting and financial processes (a plus).
