Description:
Department Specific Responsibilities:
- Coordinates with the Facilities Manager to oversee all logistics, materials and supplies needed for events, such as: linens, utensils, and table/chair set up and break down, and organizes in-house services with various UC staff in support of events.
- Works closely with external vendors to ensure the success of each event, including catering, equipment and linen rental, audio-visual services, décor.
- Works closely with University Collections leadership to plan donor-focused meetings and events.
- Provides pre- and post-event planning, including completing vendor orders, data management and event communications, and bill pay.
- Collaborates with other staff in the creation of advertising and marketing material design, production, and distribution, including social media.
- Maintains events calendar and volunteer database and coordinates event volunteers.
- Works with UC staff to maintain website information ensuring timeliness and accuracy regarding UC events.
- Maintains email communication with constituents, sending newsletters, following and implementing marketing plan/schedule, managing social media, and press releases.
General Responsibilities
- Performs a variety of responsibilities in support of day-to-day museum operations, including curation, collections maintenance, museum tours, facility operations and exhibition planning, coordination of staff and volunteer activities, marketing and communications, and event planning.
- Ensures proper maintenance of artwork and museum artifacts and performs inventory for collections.
- Monitors the condition of facilities, ensuring safety and security for guests, and initiates work orders for supplies, maintenance, repairs, and other issues as needed.
- Plans and develops procedures for tours, events, collaborative projects, and other museum programs; works with vendors and community partners.
- Liaises with community partners to organize projects, exhibitions, promotional material, and events.
- Frequently interfaces with other staff, faculty, students, and the general public. Resolves issues and relays procedures/policies as needed.
- May provide guidance to other Museum Services staff and volunteers.
