Marketing Coordinator

 

Description:

The Marketing Coordinator will be responsible for coordinating marketing assets and deliverables for tradeshows, campaigns, and events. The person in this role maintains the request queue and coordinates with internal teams and vendors.


Your main responsibilities: 

Tradeshow Support:

Partner with business unit leads to create an annual tradeshow calendar and manage to the forecasted budget for each tradeshow.
Collaborate with Regional Sales Managers and/or BU leaders to align on booth design and identify marketing deliverables that need to be created or coordinated.
Coordinate with vendors to produce assets, design booth, and manage freight for displays.
Track and analyze the performance of tradeshows and other customer events, providing insights and recommendations for future improvements.
Full tradeshow coordination required for 2-3 large, national tradeshows per year. Collateral-only support (coordinating banners, display materials) for 6-8 regional tradeshows per year.

Internal Communication:

Partner with the Senior Management Team and coordinate one all-company, annual employee event.
Lead the internal Employee Activity Committee. Coordinate with committee members to create and execute against an annual calendar.
Maintain the marketing request queue, ensuring timely and efficient handling of requests from internal teams.
Coordinate with internal teams to gather information and materials needed for marketing initiatives.
Provide regular updates to the Head of Marketing and other stakeholders on the status of ongoing projects.

Vendor Management:

Coordinate deliverables with marketing vendors.
Maintain strong relationships with vendors to ensure quality and cost-effectiveness.
Oversee the Peerless Pump online store.
Evaluate vendor performance and provide feedback to ensure continuous improvement.
Monitor spend.

Administrative Support:

Manage marketing-related administrative tasks, such as scheduling meetings, preparing reports, and maintaining records.
Assist with budget tracking and financial reporting for marketing activities.
Support the Head of Marketing with various tasks as needed.

Key Success Factors

Tradeshow Support: Number of events coordinated per year, budget adherence, attendee feedback
Vendor Management: Quality and timeliness of deliverables from vendors, cost savings, vendor feedback
Communications: Engagement metrics, timeliness and overall quality of work
Administrative Support: Ability to meet deadlines for reports and deliverables, accuracy of work, continuous growth in relevant skills and competencies, proactive with suggestions for improvements and new ideas.

 Head of Marketing
Description: The Head of Marketing oversees the entire marketing department, setting strategic direction and priorities. They are responsible for ensuring that marketing efforts align with the company's overall goals and objectives.
Interaction: You'll provide regular updates on project statuses, budget tracking, and performance reports. You'll also assist with various tasks as needed to support the Head of Marketing.
 Business Unit (BU) Leads
Description: BU Leads are responsible for specific product lines or business segments within the company. They focus on driving growth and achieving targets for their respective units.
Interaction: You'll collaborate with BU Leads to create the annual tradeshow calendar, tradeshow budgets, align on booth design, and identify marketing deliverables. This ensures that marketing efforts are tailored to the needs of each business unit.
 Regional Sales Managers
Description: Regional Sales Managers oversee sales activities within specific geographic regions. They work to achieve sales targets and build relationships with customers in their areas.
Interaction: You'll work closely with Regional Sales Managers to align on booth design and marketing deliverables for tradeshows and other marketing activities. This collaboration helps support sales efforts and ensures that marketing materials effectively promote products and services.
 Internal Teams (HR, Senior Management Team, Employee Activity Committee, Sales)
Description: These teams are the primary stakeholders for internal communications.
Interaction: You'll coordinate with these teams to gather information and materials needed for marketing and communications initiatives. This ensures timely and efficient handling of marketing requests and maintains alignment with the overall marketing strategy.
 Employees
Description: These groups are the primary recipients of internal communications - employees, interns, and consultants.
Interaction: You’ll create and distribute communications to these groups using email, Viva Engage (previously, Yammer), in-person updates, presentations, meetings, events, etc.

External Stakeholders

 Vendors
Description: Vendors provide various marketing services and products, such as printing, booth design, and promotional materials. They are essential partners in executing marketing activities.
Interaction: You'll coordinate with vendors, maintain strong relationships, oversee the production of marketing assets, and manage freight for displays. This ensures quality and cost-effectiveness of marketing materials and services.
 Event Organizers
Description: Event organizers are responsible for planning and managing tradeshows and other events. They handle logistics, venue arrangements, and overall event coordination.
Interaction: You'll coordinate logistics for tradeshows and events, including booth setup, asset delivery, and for 2-3 shows per year, you’ll provide on-site support. This ensures smooth execution of events and maximizes the impact of marketing efforts.
 Customers and Prospects
Description: Customers and prospects are the target audience for marketing campaigns and tradeshows. They include existing clients and potential new customers who may be interested Peerless Pumps products and services.
Interaction: While your interaction with customers and prospects is indirect, you'll track and analyze the performance of campaigns and tradeshows to provide insights and recommendations. This helps generate leads, build brand awareness, and support sales efforts.

Your background

We imagine that you have:  

Bachelor’s degree in Marketing, Hospitality, Communications, or Business Management *required
Comparable experience in lieu of post secondary degree may be considered
One year experience in marketing planning, event planning, or tradeshow coordination *required
Project management experience *preferred
Strong organizational and multitasking abilities to handle multiple events simultaneously
Excellent communication and interpersonal skills to interact with internal teams and external partners
Competencies
