Description:
DUTIES INCLUDE:
- Conducting the booking of tours at the museum and its facilities for special groups and VIPs.
- Greeting tour groups as they arrive.
- Developing relationships with local schools and other groups that can assist in educational outreach programs.
- Respond in a professional and timely manner to group visit inquiries that arrive via email, webform and phone.
- Reliably steward an organized booking process for all groups through internal systems
- Track invoicing and confirm payments for each group visit.
- Communicate effectively with schools or group tour organizers regarding group expectations, museum policies, bus parking instructions, and tour content.
- Works with the Programming Coordinator to communicate with docents regarding tour assignments.
- Trouble-shoot as needed (i.e., finding substitute tour leaders, offering alternative tour times, ensuring large group visits flow well through the museum)
- Communicate with the School Programs Manager to coordinate Art Door studio lessons and Outreach lessons with adjunct instructors.
- Describing tour points of interest to group members and responding to questions in a timely manner.
- This position will require outreach to past group bookings for rebooking, career fairs, affinity groups (and other outreach tabling events).
- Providing directions and other pertinent information to visitors.
- Monthly Tour Group Goal No Less Than: 20 Bookings
- Peak Season Goals (December – February & June) – 40 Bookings
QUALIFICATIONS, SKILLS, AND ABILITIES REQUIRED:
- High school diploma or equivalent certification required (GED)
- 5 years of previous experience working in a guest services capacity
- Proven customer service experience with a strong guest-focused mentality
- Possess excellent management skills, communication skills, and multitasking skills.
