Description:
Responsible for managing HR compliance efforts throughout Olympus Corporation of the Americas (“OCA”) by ensuring that HR policies and regulated processes are compliant with applicable employment/labor laws, regulations, and industry standards. Partners with HR, business units, other departments, auditors, and counsel to develop, implement, and maintain effective HR Compliance programs, including Affirmative Action, OCA policies, and internal HR processes & standard operating procedures. Maintains and enhances efforts to identify risk, ensure adherence with all applicable requirements, as well as mitigate loss and protect the company.
Job Duties
- Maintains up-to-date knowledge in employment law, regulation, and best practices within the HR space to ensure Olympus remains compliant and current in its talent practices.
- Communicates relevant updates to stakeholders regarding how changes to legal and regulatory requirements will impact company practices.
- Drives HR process & policy owners and stakeholders to ensure that HR policies and processes follow applicable current employment/labor laws, including updating and/or developing new policies, sharing information and training HR team members as needed, collaborating with other involved departments and updating the OCA Employee Handbook.
- Engages in strategic long-term planning by developing goals for the HR compliance function recommending procedural improvements in compliance practices.
- Develops schedule of audits for selected HR practices and processes to ensure compliance and identify and address potential compliance risks. Conducts scheduled audits and works with HR and business teams to implement the recommendations, remediation and action plans resulting from audits.
- Manages the company’s affirmative action program activities, including preparation, monitoring, and analysis of AAPs and related compliance. This includes promoting effective AAP activities through education; meeting with business & HR Leadership to share information on and strategies for addressing underutilization; partnering with the compensation unit to review the minimum qualifications of positions. In concert with external contractor and internal HR Analytics, maintain data accuracy, compile data and file AAP Certification, EEO-1, VETS 4212, and CA Pay Report.
- Provides actionable Metrics/Reporting design to drive overall compliance, process improvement initiatives and business value through information and consulting.
- Oversees compliance and escalation of employment screening, such as background checks and drug and alcohol testing. Monitors on-going Covered Persons background screening, ensuring that all OCA U.S. employees and covered third party contractors are screened against federal Lists of Excluded Individuals and Entities, when engaged, and thereafter on a quarterly basis. Collaborates with OCA Compliance and Legal to administer the OCA Integrity Hotline and ensure that matters reported are investigated in a complete and thorough manner, in accordance with the OCA Investigations Manual and HR investigations guidelines. Provides quality assurance support to this process by regularly monitoring HR Business Partner activities with respect to investigations and performing qualitative audits against the existing investigation guidelines.
- Ensures anti-harassment workplace compliance through education, training and guidance for managers and human resources and working with Learning Management Solutions to ensure timely rollout of bi-annual training for managers and employees in the US and Canada.
- Attends Internal Investigations Committee, and Reportable Events Work Group meetings, preparing necessary case summaries and investigations KPIs, and follow ups with HR Business Partners and HR leadership.
- Special projects and other related duties as assigned.
Job Qualifications
Required:
- Bachelor’s degree required.
- Master’s degree preferred.
- HR Professional certification (SHRM-CP or PHR) preferred.
- A minimum of 5 years in a Compliance with significant responsibilities in the development and implementation of affirmative action and equal opportunity programs, or Audit role required.
- Preferred experience in Compliance within a highly regulated industry.
- Must have a working knowledge of state and federal employment / labor laws and statutes, including but not limited to FLSA, FMLA, ADA, Title VII, and other DOL regulations.
