Group Tours Manager

 

Description:

JOB DUTIES:

  • Supervise and manage Group Tours Team in processing of school group reservation data using Patron Manager, Conga, Formstack, and all other necessary software, including invoicing groups, creating schedules, and processing group tours data.
  • Lead and manage all group tour processes, including revising current processes, creating new processes, and maintaining efficient procedures.
  • Maintain, track, and report out scholarship/grant funds related to student groups and education programs.
  • Supervise communications with group tour leads and teachers through the reservation process, including schedule adjustments, scholarship awards, and administrative and vendor approvals.
  • Maintain and report on group tour data and projections, including weekly check-ins, quarterly manager meeting reporting, Patron Manager Dashboard upkeep, and assisting with bi-annual projections reporting.
  • Lead and maintain logistical connections with school and district administrators for partnerships.
  • Lead scheduling and transportation booking of speakers for school groups.
  • Assist in field trip outreach to school groups.
  • Work closely with the Director of Education to create a successful student experience for groups visiting the Museum.
  • Provide support to the Education Team in all its activities, as needed.
  • Work occasional Museum evening and weekend programs, as needed.
  • Assume other tasks, projects, and responsibilities, as assigned.

KEY REQUIREMENTS:

  • Bachelor’s degree.
  • 4 years of administrative, data processing, and/or customer service work experience.
  • 4 years of managerial experience, leading a small team.
  • Comfortable working with large audiences and students.
  • Proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word) and ability to learn and master software.
  • Knowledge of Formstack, Conga, and Patron Manager/Salesforce platforms is a plus.
  • Willingness to train in and work towards a high level of proficiency in Patron Manager, Formstack, and Conga.
  • Strong interpersonal skills and ability to work effectively in a team environment.
  • Excellent organizational and communication skills.
  • Fluency in Spanish, highly preferred.
  • Able to work some nights and weekends, as needed.
