Description:
Duties and Responsibilities:
1. *Provide administrative and fiscal support to the Pacific Biosciences Research Center (PBRC) faculty and staff and their associated research groups, including post-doctoral researchers, and students.
2. *Responsible for preparation and review of travel requests and completion reports for faculty, staff and students to attend meetings, conferences and participation in field research programs.
3. *Ensures compliance with established policies & procedures.
4. *Independently determines appropriateness of various fiscal and personnel documents and recommends alternatives as necessary.
5. *Advise members on various fiscal policies and procedures. Also provides recommendations on various procurement issues, including travel, within established policies and procedures.
6. *Responsible for the procurement and inventory of all supplies, services and expediting of payments. Advise Principle Investigators with the proper procurement policies/procedures for large equipment purchases.
7. *Oversee Principle Investigators' budget reports from the fiscal office and ensure purchases are within the budget.
8. *Prepare, audit, and/or process necessary fiscal documents in accordance with established policies and procedures, including purchase requisitions for purchase of laboratory equipment and supplies, airfares, payments for equipment service contracts, and reimbursements in a timely manner.
9. *Works as a team member to identify, coordinate, and evaluate problems.
10. Establish and maintain good relations with vendors regarding clarifications of quotes, purchase orders and payments.
11. Works closely with PBRC HR and Fiscal to assist in all aspects of personnel tasks including recruitment, employment changes, termination, and timesheet review/approval.
12. *Assist new foreign researchers/visitors with appropriate visa applications. Complete required visa request paperwork, obtain signatures, & submit all forms to the appropriate office in a timely manner to ensure visa will be obtained prior to appointment date.
13. *Prepare and audit overload forms for both faculty and graduate assistants, ensuring completeness and accuracy before submittal to PBRC HR.
14. *Provide staff support on Procurement Card (P-Card) transactions. Independently determines correct reallocations and input of appropriate budget and account codes in the Kuali Financial System (KFS).
15. Utilize software programs used by campus and UH System to include KFS, eTravel, and the RCUH procurement system to process various fiscal documents.
16. Assist with training and supervision of student assistants.
17. *Assist with providing administrative support to other PBRC administrative offices as needed.
18. Other duties as assigned.
