Portland Playhouse is a 501c3 nonprofit organization with an annual budget of 2M, a full time staff of 10, and 75-100 seasonal employees and contractors (actors, designers, carpenters, teachers). This position is primarily Finance related with a little HR on the side. We are seeking an experienced professional to step in and work alongside our Director of Finance for a period of 2-3 months providing support (10-15 hours/week) with the potential to step in and cover a potential medical leave (15-25 hours/week).

Primary Duties

Finance

  • Accounts Payable and Accounts Receivable
  • Supervision of PT bookkeeper
  • Supervision of depositing & recording checks (& cash)
  • Downloading reports of online income (tickets, donations, etc.) & reporting automatic deposits
  • Supervision of recording payables & writing checks
  • Pex Card Management
  • managing card balances
  • recording expenses monthly
  • Budgeting
  • Working with Directors to collect & refine budgets annually
  • Allocation between departments
  • Set timeline of budget process
  • Project budget creation
  • Cash Flow Projections
  • W-9 & 1099 execution annually
  • Oversee Audit and Provide Auditor with needed info
  • Quarterly report to the Board Finance Committee
  • Quarterly financial reporting to Finance Committee & Board of Directors

Grant Financials

  • Working with Development to help create budgets and other financial docs needed for grants and grant reporting

HR

  • Payroll supervision
  • Running Payroll reports
  • Workers’ Comp (SAIF) administration for employees on payroll

Working Conditions

This job will be performed as a combination of in person at the theatre office and remotely as we use QB online. Both our offices (lower level) and our theatre (upper level) are ADA accessible, but there is no elevator connecting the two levels.
