Description:
The Facilities Coordinator's role is to assist the facility management team to ensure the successful competition of client facility needs by creating and assigning work orders to multiple technicians, subcontractors, and vendors. The coordinator will connect with technicians and assist management in resolving problems about the work site facility.
Duties & responsibilities
- Assist in general facilities duties providing adequate provision of office services and supplies including after-hours emergency contact
- Respond to client inquiries and concerns. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.
- Coordinate general repairs and maintenance requests, work with building management, supervisors, and contractors to resolve issues in a timely and professional manner
- Assists with the inspections on the facility campus
- Creates vendor files and checks accuracy on completed paperwork submitted by vendors. Trains vendors on work orders and billing procedures. Processes invoices and ensures accurate cost center coding.
- Maintains files on work orders, proposals, and department files. Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.
- Uses PC and/or PDA for work order system, email, ESS, and training.
- Assist with process and procedure training.
- Other duties may be assigned.
Qualifications
- HS Diploma or GED required.
- Preferably 1-2 years experience in facilities within a large corporate and or retail office environment.
- Open and flexible work schedules.
- Ability to understand and carry out general instructions in standard situations and resolve problems.
- Strong written and verbal communication skills with the ability to communicate at all levels.
- Basic knowledge in general trade maintenance and management of building works.
- Exposure to reactive work orders, maintenance scheduling, and vendor relationship management.
- Intermediate level skills with Microsoft packages
- Ability to work requiring significant walking or through other means of mobility. This includes standing in position for extended periods, reaching, bending, stooping, pushing and/or pulling, and frequently lifting up to 50 lbs.
