Description:
The Facilities & Exhibits Manager responds to daily cleaning and maintenance needs of the facility, grounds, and exhibit areas. The Facilities & Exhibits Manager supports building operations and coordinates the maintenance of technical and janitorial contractors. The Facilities & Exhibits Manager ensures that all exhibit components and environments are clean, safe, in good working order, well cared for and repaired in a safe, timely, and aesthetically functional way. This is a physically active role that requires a combination of technical skills in woodworking, painting, and electro-mechanical systems that are often performed in public spaces. This position works closely with all administrative departments to address satisfaction issues and uphold the museum’s integrity.
Responsibilities and Duties
Facilities 65%
- Retain holistic awareness of the entire facility, safeguarding structural components through proactive preventative maintenance. Develop and maintain a digitally scheduled regimen of recurring tasks and maintenance to effectively forecast the needs of the facility.
- Complete daily safety and cleanliness tasks, making needed repairs, upkeep and cleaning of exhibits, building, and grounds before the museum opens to the public using professional techniques. This includes waste management, landscaping, debris removal, and management of the parking lot.
- General upkeep including but not limited to cleaning various surfaces and components, ordering and replacement of worn parts for exhibits and equipment, and recommending appropriate equipment purchases and maintenance as necessary. Maintain a current and continuous inventory of departmental maintenance equipment.
- Work within parameters of departmental and project-based budgets.
- Keep staff informed of maintenance scheduling changes and exhibit closures or repairs that impact the public.
- Schedule and manage vendors - including janitorial, waste management, HVAC, landscaping, plumbing, equipment inspection - and large-scale annual cleaning efforts. Ensure that vendors’ practices align with the museum’s mission and race and social justice initiatives.
- Troubleshoot HVAC, plumbing, lighting, electrical, mechanical, alarm, and elevator systems. Perform basic maintenance and repairs.
- Collaborate to identify and eliminate potential areas for physical or cultural access barriers and ensure that the facility is poised to adapt to its community.
- Be knowledgeable of KQCM best practices and emergency plans.
Exhibits 20%
- Utilize existing system to communicate with all staff regarding exhibit repair needs and statuses.
- Coordinate exhibit installation and de-installation with vendors.
- Meet with Education Team regularly to evaluate exhibits and plans, and initiates exhibit improvement and upgrades.
Organizational Safety and Security 15%
- Responsible for the physical and structural security of the facility including managing security systems, building access permissions, security systems inspections and emergency supply inventories.
- Manage and issue building keys to all new employees and manage the inventory system.
- Regularly audit and update current systems to ensure compliance with OSHA, L&I, and MSDS guidelines.
- Contribute to the organization’s emergency action plan, including evacuation protocols.
Perform other related duties as assigned
Experience/Qualifications
- Proficiency with basic hand and power tools required
- 3-5 years’ equivalent experience in facility-related project management preferred
- 3-5 years’ combined experience in woodworking, carpentry, electro-mechanical systems, and metalwork preferred
- Ability to diagnose, problem solve, service, and repair various equipment
- Strong organizational skills; ability to manage internal and external service schedules, balance multiple projects, and independently prioritize competing demands
- Demonstrated ability to communicate and relate effectively to a wide variety of individuals; ability to maintain relationships with multiple contractors
- Ability to work both independently and in cross-functional teams to solve problems creatively
- Ability to remain in a stationary position for extended periods of time, work outdoors, move from ground to above shoulder, ascend/descend stairs and ladders, position self to bend, stoop, sit, push, and pull
- Willingness to gain working knowledge of Microsoft Office Suite, including Outlook and SharePoint
- Demonstrated safety in the workplace; knowledge of OSHA practices
