Description:

A. Executive Support

  • Executive Calendar Management: Coordinate and maintain the calendars for the President & CEO, Artistic Director, and Executive Vice President. Ensure timely notifications of upcoming appointments, providing all relevant details and materials.
  • Email Correspondence: Oversee email accounts for the CEO and Artistic Director. Alert them to urgent or important messages, respond as necessary, prioritize emails, and ensure follow-up on key communications.

B. Board of Directors Support

  • Draft and prepare correspondence, memos, meeting notes, agendas, and other materials for communication between executive leadership and the board of directors.
  • Attends all board meetings and take detailed minutes.
  • Generates agendas and other required materials

C. General Office Support

  • Perform basic clerical duties, including answering phone, responding to emails, faxing, filing, and data entry.
  • Answering phone calls in a polite and professional manner, forwarding and/or taking messages as necessary.
  • Provides back-up administrative support to other departments as required.

Required Qualifications / Skills:

  • Bachelor’s degree and a minimum of three years of progressive experience, preferably in a role supporting senior leadership.
  • Strong technical skills, including minute-taking, and computer software skills.
  • Excellent attention to detail, adaptability, and the ability to work effectively in a fast-paced environment with strict deadlines.
  • Strong organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
