Position Summary
Provides executive administrative support of a highly complex and responsible nature to the CIO & SVP of Customer Success & Business Transformation. This role is a key member of the CIO/SVP’s leadership team. You have the opportunity to be a part of a fast-paced, transformational team that is enabling and driving change in a global technology company. Interfaces with high-level internal/external contacts and stakeholders requiring considerable discretion and initiative. Develop and maintain a deep partnership with the executive’s Chief of Staff. Understand functions across various business groups and utilize judgment to act proactively in the dispensation of tasks on behalf of executive leadership. Provides mentorship and leadership for the administrative team across the functions.

Responsibilities
Provide confidential executive administrative support to the senior Leadership team. (50%)
Coordinate schedules for meetings, arranges appointments, schedules visitors, maintains calendars and plans complex travel.
Perform specialized, complex, administrative duties that vary in methods, procedures, and standards.
Manage Executive Leaderships’ calendar and schedule meetings.
Handle non-routine correspondence and assemble highly confidential and sensitive information.
Make complex travel arrangements that impact the CIO/SVP along with the Leadership reporting to the Executive.
Mentor assistants, coordinators, and others throughout the company; sharing knowledge, resources, and experience.
Serve as a point of contact for internal and external stakeholders. Contacts are frequent within and outside the organization and involve obtaining or providing information on matters of critical importance to the organization and usually are of a sensitive/confidential nature.
Maintain and protect highly confidential corporate information, is the first point of contact in person and on calls for executives from internal departments and external clients, and work independently with minimal supervision or direction.
Coordinate logistics associated with Executives’ rhythm of business.
Develop, manage, and enhance both internal and external communication with existing and potential clients.
Deal with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Provide leadership in the physical office location to the CIO/SVP’s teams.
Work independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures, etc.
Coordinate with Corporate Communications and assist in the issuance of internal communications and external communications as required.
Represent the Office of the CIO/SVP CS & BTO across the Company which includes responding to inquiries and escalating as necessary.
Coordinate webcast releases for conferences and conference calls, with a primary responsibility for call quality and overall success
Event planning and support for department related events.
Must be available for occasional domestic and international travel to support the Executive
Other Responsibilities:
Responsible for upholding F5’s Business Code of Ethics and for promptly reporting violations of the Code or other company policies.
Performs other related duties as assigned.
Qualifications
Requires a minimum of 10 years of related experience with a Bachelors’ degree; or 5 years and a Masters’ degree or a PhD
Extensive administrative support experience of a C-level senior-level executive.
Technology industry experience preferred.
Experience in understanding and navigating business functions to accelerate problem-solving and proactively execute tasks.
Advanced skills in Word, Excel, Outlook, Teams and PowerPoint. (Access a plus).
Must have initiative and be able to utilize judgment to act proactively in the dispensation of tasks on behalf of the executive leadership.
Must have the ability to complete tasks without exact/detailed instructions in a fast-paced environment.
Independent judgment is required to plan, prioritize, and organize diversified workload, recommend changes in office practices or procedures.
Project management skills essential.
Must be detail oriented, prompt, flexible, and dependable.
Experience and comfort in developing and maintaining hybrid and virtual executive relationships.
Comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors, and candidates in a fast-paced environment.
