Engineering Administrative Assistant

Responsibilities
 

  • Coordinate with Billing Lead on billing tasks, including invoicing, spreadsheet development, data entry, and correspondence with subcontractors.
  • Support Engineering team with miscellaneous administrative tasks such as scheduling meetings, taking minutes, drafting letters, etc.
  • Retrieve/upload electronic documents to/from cloud-based websites.
  • Rename, organize, and archive documents into project cloud-based websites.
  • Print and assemble project submittal packages.
  • Send submittal package emails to Document Control/Authority.
  • Collect signatures on time-sensitive documents.
     

Skills
 

  • Experience with Microsoft Excel is required, including generating spreadsheets and use of basic Excel formulas.
  • Experience with Microsoft Word, Outlook, Adobe Acrobat, and/or Bluebeam Revu is required.
  • Good written, oral communication, and organizational skills are a must.
  • Ability to troubleshoot.
  • Ability to work under pressure.
  • Previous billing and accounting experience is not required but is a plus, however, Microsoft Excel experience is required.
