Description:

The Portland Art Museum (referred to as Museum) and PAM CUT // Center for an Untold Tomorrow invites applications for the position of Controller. The Controller is responsible for the day-to-day operation of the Accounting department. This includes financial reporting in compliance with Generally Accepted Accounting Principles (GAAP) and related legal requirements; ensuring a strong system of internal controls; integration of all financial and related fundraising systems; preparation for the annual audit and related tax returns; and supervision of a five person accounting team.

The Controller oversees financial management and assists the CFO in communicating financial results to inform management decision making for the Museum. This role is responsible for upholding financial standards by collaborating with various levels of staff from the front line to the Board. While the Controller does not need to have an art background, they do need to be adaptable to non-profit culture and understand the complexity of budgeting for and financial management of projects and programs.

The Museum is currently under construction on our expansion and renovation project of the Rothko Pavilion. This role will be responsible for construction reporting and analysis to remain up to date of the budgetary outcomes.
Essential Duties & Responsibilities

  • Responsible for the day-to-day operations, training, supervision and performance reviews of the accounting staff in the processing of accounts payable, accounts receivable, cash receipts, payroll and G/L accounting
  • Responsible for accurate and timely financial reporting in compliance with GAAP and for maintaining a strong system of internal controls including documentation, identifying controls and risks, monitoring ongoing compliance and enforcing policies & procedures
  • Responsible for reviewing activity related to the endowment and restricted funds for compliance with laws and regulations and reconciling monthly activity for all funds
  • Responsible for developing and maintaining the budgeting and cash forecasting models
  • Responsible for maintaining the integrity of the accounting software and the accuracy of information interfacing between it and the fundraising software (Altru), including postings of transactions prepared by the Accounting, Development and Membership departments
  • Responsible for the preparation of financial reports to the Board of Trustees, division directors and department managers
  • Responsible for construction reporting and analysis to track costs and cashflows against budget
  • Responsible for the coordination and supervision of the annual audit including the preparation and review of work papers prepared by staff and preparation of the audited financial statements
  • Responsible for coordination and/or preparation of required tax and information returns related to the Museum’s finances and fundraising activities including Forms 990/990T, the Oregon CT-12 and 20 and the Washington Charitable Solicitations Renewal Form
  • Collaborate with other departments to create a culture of communication and collaboration on matters that affect financial information recording and reporting
