Description:
The Department of Pediatrics Education Office is seeking a Clinical Education Coordinator to join our team of graduate medical education support staff. This role will support our combined residency training programs helping develop future pediatric providers.
Department-Specific Responsibilities
- Maintains processes and outcomes of the combined pediatric residency education programs.
- Maintains thorough knowledge of institutional and national program requirements.
- Maintains residency program records and evaluations; coordinates information required for ongoing program recertification.
- Monitors progress of individual resident's completion of program requirements and facilitates preparation and guidance for each resident's semi-annual evaluation meetings with program director(s).
- Facilitates appropriate program committee and council meetings, including resident and faculty participation.
- Facilitates required graduate medical education reporting surveys in conjunction with Program Director for annual ACGME ADS and APE reports.
- Fosters communication between participants of team, including program directors, associate program directors, resident trainees, and staff.
- Oversees and manages all administrative duties relative to the recruitment and selection process.
- Works with GME office for generation of contracts for new and continuing residents; processing new hire paperwork for incoming residents and other ongoing documentation as required.
- Assists residents in obtaining and maintaining valid licensure and Educational Commission for Foreign Medical Graduates (ECFMG) sponsorship documentation.
- Coordinates the provision of personnel/employment administration to residents; oversee maintenance of personnel records and files for current and graduated residents.
- Maintains computerized information systems (i.e. MedHub, Canvas) related to collecting and storing program and trainee data, generating management reports and documentation.
- Oversees information provided in MedHub and AmIOn to ensure all information is available as needed for output needs.
- Plans special activities throughout the academic year, such as retreats, holiday events, education workshops, and graduation.
- Performs other duties as assigned.
General Responsibilities
- Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences.
- Schedules rotations and clinic hours for members, and may arrange extracurricular activities.
- Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
- Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates.
- Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
- Implements program improvement projects from initiation to execution.
- Offers recommendations to improve program administration and/or the overall quality of care.
- Participates in the planning and development of academic and clinical requirements to ensure that all accreditation standards are maintained.
