Description:
Reporting to the Associate Director of Collections, the Associate Regis trar for Collections will independently organize, manage and perform a wide variety of professional registration duties in support of the museum's collections and exhibitions. The Associate Registrar will be responsible for managing the processing of new acquisitions for the museum, coordinating daily work flow in collections storage, administering annual collection inventories, and performing the maintenance and updating of art emergency procedures. Working with Collections Dept staff, the Associate Registrar will also perform support for the museum's collection management database.
In this role, you will:
- Perform all of the tasks related to accessioning new works into the collection; arrange shipping, communicate with donors, provide and file all legal documentation, condition report incoming work and physically number objects.
- Data entry for object records and cataloging of collections, data entry to track collection object accessories, includ ing mounts and other exhibition materials related to the object.
- Work with the curatorial team to update valuations of collection objects.
- Manage the daily workflow and organization in collections storage areas.
- Work closely with the Collection Preservation Specialist and Museum Preparators to determine storage locations for collection objects, coordinate the rehousing of collection objects and, as necessary, write up handling instructions for objects with complex handling trays and boxes. Print object labels and tags.
- Manage photography of new acquisitions with contract photographer, link images to database records
- Update existing Super Reports in the EmbARK database, and create new reports.
- Working with Collections Dept staff, assist with the migration of the museum's collection data from EmbARK to TMS Collections by scripting SQL data searches, custom views and alerts and writing Crystal Reports
- Create gallery de-install reports for scheduled exhibition de -installs and gallery change outs.
- Conduct annual inventory of collection objects, in accordance with AAM best practices.
- Purchase and maintain inventory of collection storage and collection department supplies.
- Revise the Art Emergency documents and procedures as necessary, distribute to staff.
- Work with Associate Director of Collections, Conservation, and Curatorial to establish collection salvage priorities and create protocol for access.
- Manage volunteers and student interns occasionally.
