Description:
PRIMARY RESPONSIBILITIES & DUTIES:
Assist Chair in fundraising activities by managing correspondence with current and prospective donors, setting up meetings and following-up.
Serve as the primary point of contact for all Friends, Visiting Committee members, and departmental donors.
Organize and manage the Friends of Asian Art schedule of events, including six to seven events each season and an annual dinner.
Assist in planning and executing departmental exhibition openings, special programs, luncheons, workshops, and conferences with relevant departments.
Collect and track Friends membership fees, manage Friends budget with oversight from the Senior Manager, draft renewal and acknowledgement letters; identify and onboard new members.
Serve as a liaison between the curatorial team and development officers, relaying information regarding donors in a timely fashion.
Working with Chair and administrators, plan and coordinate content and production for all membership communication including Friends newsletters, event invitations, memos, and e-blasts.
Manage the event planning, budget, and execution for the co-hosted annual Asia Week New York reception for 750+ high-level supporters, collectors and colleagues, coordinating across departments and with outside vendors.
Maintain department donor files and archive with updated contact information and face book.
Manage the Department Chairman’s calendar; respond to meeting, tour, and press requests; arrange meetings with staff and visitors on his behalf; provide meeting reminders and keep him on track throughout the day; assist with creating PowerPoint presentations for meetings as needed.
With front-office colleague, answer/direct all incoming telephone calls; assist with public queries regarding the collection and exhibitions; receive guests and visitors to the office; assist curators with mailings, office tasks, and general communications as needed; and facilitate private group tours with curators.
Other duties as assigned.
EDUCATION AND EXPERIENCE:
4 years of administrative and/or special events experience in a museum of similar environment.
Experience in development/fundraising, managing donor/patron groups, and running special events, preferred.
BA degree required, MA in an art-related field preferred.
Strong interpersonal skills and absolute discretion are required in working with high level donors and supporters of Asian Art.
Demonstrable ability to create and maintain precise and well-researched records.
Superior organizational skills and ability to work on a team and coordinate projects across departments.
Excellent time management and ability to maintain composure in a busy environment.
Demonstrates initiative and ability to work independently as well as part of a team.
Excellent interpersonal as well as written and verbal communication skills.
Attention to detail with follow through.
Computer literacy, including Word, Excel, PowerPoint, etc.
