Advancement Coordinator

 

Description:

Primary Purpose: This position works closely with and reports to the Executive Director to coordinate and implement advancement efforts for The Foundation for the Bethlehem Area School District. Primary responsibilities of this position include assisting with annual and strategic plan activities that support donor cultivation, annual fundraising, major gifts, campaign gifts, events, and planned giving strategies.

This position is responsible for communication efforts, specifically social media, email campaigns and website management, donor communications, data management, gift and data processing, and provide analysis of giving trends and needs for both monetary and in-kind donations. The successful candidate will be responsible for management of The Foundation’s bookkeeping and donor database. This position requires availability during some evening/weekends as necessary, but not on a regular basis

 

Tasks and Responsibilities

  • Demonstrate a working knowledge of public education, education foundations and non-profit operating guidelines
  • Collect and manage data to assist in current donor and potential donor communication which includes cultivation, solicitation, acknowledgement, and recognition of gifts and support. o Research data to ensure donor histories and affiliations are accurate o Process all contributions creating appropriate acknowledgements for donors – including Quickbooks (bookkeeping) and DonorSnap Database Management o Research, analyze and create distribution lists for bulk mail distributions and email campaigns o Create and analyze donor reports to aide in future donor solicitation o Responsible for tracking donations from third-party platforms as well as charitable giving sources such as matching gifts, United Way, and PayPal Giving
  • Support and assist the Executive Director and board members with achieving annual goals and strategic plan activities/initiatives
  • Perform general clerical office duties and other functions to support the organization’s success
  • Research and explore new opportunities to increase brand awareness
  • With input from the Executive Director, manage marketing efforts o Create and post media campaigns with emphasis on social media and email communications o Update and manage reporting tools necessary for future marketing efforts o Ensure our organization is on trend with social media communication increasing BASD community awareness of our mission
  • Maintain and update The Foundation’s website for accuracy and current content
  • Partner with Grants Committee and Executive Director to provide teacher and student grant opportunities o Coordinate and process all teacher and student grants applications o Coordinate and process all teacher award nominations
  • Lead the annual scholarship process o Connect and collaborate with various scholarship funders collecting annual scholarship funds
  • Create, update and post scholarship applications on The Foundation’s website, social media outlets and inform high school guidance counselors o Connect and collaborate with scholarship committees to obtain scholarship recipient information and check request forms prior to deadlines
  • Partner with Executive Director on gift solicitation including individual, grants and major gifts o Assist with data analysis and reporting tools necessary for business/organization grant applications o Provide suggestions and recommendations for gift solicitation strategies such as planned giving, matching gifts, Educational Improvement Tax Credit (EITC), tribute gifts, memorial gifts, etc.
  • Assist with the planning and development of special events
  • Oversee volunteers to assist with activities as they arise

 

Qualifications:

  • Experience in a non-profit organization
  • A degree in communications, marketing and/or business is preferred.
  • Proficiency in Microsoft Office programs (Word, Excel, Power Point) and Google Suite
  • Experience with website platforms, preferably WordPress
  • Experience with Canva or other design software
  • Experience with database management
  • Understanding of basic accounting
  • Data analysis skills
  • Strong organizational skills with attention to detail
  • Self-directed, enthusiastic, and creative
  • Possess strong and effective written and verbal communication skills, including presentation skills
