Description:
The position provides administrative and office support to the Dean of the Hasan School of Business and to the overall operation of the division by providing data base management support, bookkeeping support, spreadsheet development, and overall technical and office equipment utilization and support.
Primary Duties:
Administrative Support
Provide clerical support to the Hasan School of Business (HSB) by providing assistance to the Dean and Chair by:
- preparing various documents, spreadsheets, recording data, and overseeing financial accounts;
- being proficient in Microsoft Office applications, especially Excel, Word and Office;
- will use AIS and Banner or a similar campus information management system to access student, staff and faculty information
- assisting in managing communications and answering phone calls for the Dean’s office;
- assisting with meeting planning and scheduling for the Dean and the Advisory Council;
- assisting the Dean in managing data for the overall operation of the Hasan School, including faculty vitae, professional development accounts, travel documentation, master room schedule, AACSB files, and other essential information.
Office Managment
Responsible for keeping the HSB fully functional from an operations perspective by:
- assuring that the building is opened, closed and secured daily;
- ensuring that office equipment is fully functional and ordering repair of equipment in a timely fashion;
- being knowledgeable in operation of all equipment, including fax machine, copiers, scantron machine, conference calls;
- training work study students, faculty and staff on operation of equipment;
- assisting faculty with obtaining office supplies and office furniture and equipment necessary to help them achieve optimum productivity;
- record keeping in electronic and paper format
- supervising work study students on a daily basis, including assistance on projects; phone calling initiatives; answering phone calls; scheduling appointments; managing in-house filing systems; and the overall maintenance and organization of offices, storage and supply closets.
Customer Service
Provide consistent, high-quality communication and support to the Dean’s Office by:
- maintaining a calm demeanor when challenges arise;
- assisting in conflict resolution resulting in positive outcomes;
- having the ability to develop/identify alternatives to resolve problems when they arise;
- assisting the Dean with special projects, particularly when quick turnaround is required;
- maintaining a polished, professional environment for the Hasan School and the Dean’s Office.
