Description:
Essential Job Functions:
- Demonstrate collegiality, compassion, and professionalism as the first person of contact for people entering or contacting the Office of SIMS and Healthcare Simulation Center (HSC), including in-person, emails and phone calls.
- Work with Coordinators in scheduling all simulation events communicating with all users. Update calendars weekly and inform parties if changes occur. Be aware of and post daily, all events occurring in the Office of SIMS- on and off campus..
- Responsible for ordering Office of SIMS supplies.
- Responsible for room reservations for sim events, in collaboration with Coordinators and involved parties.
- Schedule Department and Faculty meetings. Take minutes and distrbute when appropriate.
- Arrange travel for Faculty including flights, rental cars, lodging, etc. and file expense reports.
- Participate as a member of the RVU American College of Surgery Accredited Education Institute (ACS AEI) Team in collecting data such as participation numbers, types of learners, short and long-term student feedback.
- Assist with setting up simulated events, both intra- and extra-curricular, using task trainers such as Cut Suits, manikins, surgical instruments and others.
- Collaborate with other departments and support other AA’s as needed.
- Schedule and lead HSC Tours when possible.
- Help build a culture that respects, values, and promotes diversity, equity, and inclusion.
- Other duties as assigned by the Executive Director of SIMS.
Marginal Job Functions:
- Serve on university committees and conduct interviews when eligible.
- Work with predoctoral SIMS Fellows to confirm schedules and availability.
- Assist in the maintenance of SIMS website materials.
Required Knowledge, Skills, and Abilities:
- Answer phones, emails, web requests and schedule events
- Assist in arranging Faculty travel and lodging logistics
- Maintain updated SIMS Master Calendar and Outlook Calendar
- Order supplies for the department and file expense reports as needed
- Comfortable working with Microsoft Office programs
- Knowledge of event planning, team building and communication skills

Minimum Qualifications:
- High school diploma or equivalent.
- Two years of previous experience in an administrative support position, or equivalent work experience.
