Description:
VarcoMac is currently seeking a part-time Accounts Payable Specialist that will be responsible for accurately and efficiently processing vendor invoices, managing payment schedules, addressing vendor inquiries, collaborating with the Procurement team, and ensuring adherence to internal invoice approval processes. The ideal candidate will be detail-oriented, organized, and possess strong communication skills.
Key Responsibilities:
- Process vendor invoices using the Spectrum accounting system.
- Select and issue vendor payments on a weekly basis, adjusting frequencies as necessary.
- Manage the processing of two significant checks on the 10th and 25th of each month.
- Respond to all vendor inquiries in a timely and professional manner.
- Collaborate with the Procurement department to resolve any invoice-related issues.
- Request and review necessary vendor documents such as Master Service Agreements (MSA), Certificates of Insurance (COI), etc.
- Review and approve invoices pending in the processing queue.
- Monitor Project Managers (PMs), Account Managers (AMs), and Vice Presidents (VPs) to ensure timely approval of invoices.
- Conduct regular checks to verify that invoices are approved before the end of each month.
- Take necessary actions to process, release, or resolve held invoices.
- Maintain accurate records of all accounts payable transactions.
- Assist in month-end closing activities related to accounts payable.
Qualifications:
- Associate or Bachelor's degree in Accounting, Finance, or related field is a plus.
- Previous experience in accounts payable or related financial roles.
- Proficiency in using accounting software, preferably Spectrum.
- Strong understanding of accounts payable processes, payment schedules, and vendor management.
- Excellent communication skills, both written and verbal.
- Detail-oriented with a high degree of accuracy in data entry and record keeping.
- Ability to work independently and collaboratively within a team environment.
- Strong organizational and time management skills.
- Problem-solving skills and the ability to handle inquiries and issues diplomatically.
- Familiarity with procurement and contract documentation is advantageous.
